iCal Sync Explained: Why It Is Never Instant

Airbnb, Booking.com and Vrbo read each other's iCal calendars every few hours, not in real time. Where double bookings come from and how to reduce the risk.

iCal is the simplest way to keep Airbnb, Booking.com, Vrbo and your own calendar in step: each platform publishes a link with your booked dates, and the others read it. It is free and works everywhere. It is also never instant, and understanding why is the best protection against double bookings.

How iCal sync works

An iCal link is a file that lists busy dates. Platform A does not send a new booking to platform B: platform B downloads A's file on its own schedule. Until it does, B still shows the dates as free.

How often each platform checks

These are the intervals the platforms indicate, as of October 2026:

  • Airbnb: imports external calendars about every 3 hours. You can trigger a manual refresh from the calendar settings.
  • Booking.com: about every 2 hours.
  • Vrbo: officially about every 30 minutes, but hosts commonly see 2 to 4 hours in practice.

So when a guest books on Booking.com, Airbnb may keep selling the same nights for up to three hours. That window is where double bookings are born.

What an iCal feed does not carry

  • No prices and usually no guest details: only busy dates, sometimes with a short label.
  • No difference between a booking and a block on Booking.com: Booking.com exports real reservations and dates you closed by hand with the same "CLOSED – Not available" label. Any tool that imports it has to treat both the same way.
  • No cancellations as such: a cancelled booking simply disappears from the file, and the other side notices at its next check.

How to reduce the risk of double bookings

Refresh by hand after a booking: on a busy date: on Airbnb, the import can be refreshed from the calendar settings instead of waiting for the next cycle.

Avoid same-day and next-day bookings on the slower channels: during peak season, or set a minimum lead time.

Keep every calendar connected both ways: each platform must import from all the others, not just from one hub.

Get an alert when two bookings overlap: , so you can move a guest before they arrive rather than at the door.

If you manage many units with high turnover: , consider a channel manager connected by API: it is faster than iCal, at a higher cost.

How EasyRentFlow handles it

  • Unlimited iCal feeds per property, read on a schedule you choose (from every 5 minutes), plus a Sync now button.
  • The calendar reads the portals live when you open it, so it is ahead of the imported bookings list.
  • Overbooking alerts by email or Telegram when two stays overlap.
  • Two export links: an availability-only link that is safe to give to any platform or website, and a private link with full details for your own Google Calendar.

None of this makes iCal instant, and no tool built on iCal can promise that. What it does is shorten the window and make sure you hear about a clash early. See the calendar sync features.

Frequently asked questions

How often does Airbnb sync iCal calendars?+

About every 3 hours, according to Airbnb. You can trigger a manual refresh from the calendar settings.

Can iCal sync prevent all double bookings?+

No. Platforms read each other’s calendars every few hours, so there is always a window in which the same dates can be sold twice. Alerts and minimum lead times reduce the risk.

Why does Booking.com show all my dates as "CLOSED"?+

Booking.com exports real bookings and manual blocks with the same label, so an iCal feed cannot tell them apart.
